Summary:
This position is responsible for entering internal project schedules into a project management software program, detailing all of the project components, establishing all sub-deadlines to assure that project deadlines are met, and obtaining time and cost quotes from subcontractors based on specifications as supplied by internal staff.

Minimum Qualifications
- High school diploma or GED
- Two years’ experience in project management
- Experience with estimating and quotes
- Self-motivated
- Exceptional detail oriented and organized
- Competent in the use of Microsoft Office Suite including Word, Excel, and PowerPoint
- Experience in the production process for print, electronic, and digital media
- Strong ability to interact with staff, subcontractors, and clients
- Able to work well under demanding deadlines
Preferred Qualifications
- Bachelor’s degree in a related field
- Three plus years’ experience in production process for print, electronic, and digital media
- Three years’ experience with estimating and quotes
- Excellent proofreading skills
Duties and Responsibilities:
Project Coordination
- Inputting new and revising existing projects in project management software timely and accurately
- Responsible for project assignments (taking into consideration workload and capabilities of all employees being assigned)
- Working with internal staff, respond to internal account management team for project assignments
- Single-point responsibility for accuracy of content, deadlines, and costs for all projects before returning to the internal account managers or to printing/production sources for distribution
- Monitoring deadlines and sub-deadlines no less than daily using project management software
- Working with internal staff, establish project sub-deadlines and final deadlines to ensure all deadlines are met
- Conduct weekly project meetings with accounts staff
- Working with internal staff, reassign priorities to accommodate changes
- Working with internal staff, coordinate printing production, from creation of initial printing quotes/cost estimates through the final delivery of the printed material
- Tracking and assigning PO numbers as needed
- Filing/archiving old projects and clients in project management software
- Committed to the goal of precision and exactness
- Coordinating all production for out-of-home advertising
Creative
- Collaborating with internal staff to discuss client requirements
Client Responsibilities
- Proofreading accurately and consistently
- Researching client-requested information
Administrative
- Answering phone calls as needed
- Responding to email and chat messages as needed
- Tracking and inputting billable time accurately and timely in project management software

- Maintaining a neat, orderly, and clean workspace and facility

Work Environment:
Employee must be able to:
- Sit at desk and look at a computer screen for several hours at a time on a regular basis
- Travel as necessary in order to perform the essential functions of the position
